Privacy Policy

This policy explains what information espadavilla.com collects, how it is used, who it is shared with, and the choices you have. It applies to this website and to the inquiry and booking communications that begin here. It does not cover third-party booking platforms (such as Airbnb or Vrbo), which have their own policies.

Who we are

espadavilla.com is the official direct-booking website of Villa Espada, a privately owned estate on Fairway 5 of Punta Espada Golf Course in Cap Cana, Dominican Republic. The site is operated by the villa's owner. Day-to-day guest services on the island are provided by our local management partner, Palmera Villas. Information you give us

When you submit an inquiry or booking request, we collect what you enter in the form: your name, email address, phone number, preferred check-in and check-out dates, group size, occasion and traveler type, your message, and, if you provide it, a postal address. If you contact us by email or WhatsApp, we keep that correspondence. If you go on to book, we collect the information needed to complete and manage the reservation.

Information collected automatically

Like most websites, this site collects technical and usage information through cookies and similar technologies: pages viewed, time on page, approximate location derived from your IP address, device and browser type, and the page that referred you here. If you arrive from an advertisement, we record the advertising click identifier attached to the link (for example Google's gclid, Meta's fbclid, or Reddit's rdt_cid) and the page you landed on, so that we can tell which advertising, if any, led to an inquiry.

Our own first-party cookie, ve_attr, stores that landing page and traffic-source information for up to 90 days. It contains no name, email or other identifying detail.

Cookies, analytics and advertising tags

We load third-party tags through Google Tag Manager. The tags currently in use are:

• Google Analytics 4 — aggregate site usage statistics.
• Google Ads conversion tracking — records when an inquiry follows a click on one of our Google ads.
• Meta (Facebook / Instagram) Pixel — measures inquiries from Meta advertising and may be used to show our ads to people who have visited this site.
• Reddit Pixel — the same purpose for Reddit advertising.

Each of these providers sets its own cookies and receives technical information about your visit under its own privacy policy. You can limit them by blocking or clearing cookies in your browser, by using the Google Analytics opt-out add-on, and through the ad-preference settings in your Google, Meta and Reddit accounts.

Other third-party services on this site

• Web3Forms processes the inquiry forms and delivers submissions to us by email.
• Cloudflare Turnstile protects some forms from automated spam; it evaluates your browser without a visible challenge.
• YouTube serves the embedded videos. Where possible we use YouTube's privacy-enhanced (no-cookie) player, which does not set tracking cookies until you press play.
• Google Maps and OpenFreeMap serve the map content on our map page.
• Google Fonts serves web fonts.
• Supabase hosts an anonymous visitor counter and our blog database; the counter records a count only, not who you are.
• Vercel hosts the website and keeps standard server access logs.

These providers may receive your IP address and technical browser information when the relevant content loads.

How we use your information

• To answer your inquiry and arrange your stay, including sharing booking details with Palmera Villas so the villa is prepared for your group.
• To communicate with you about a reservation, arrival, or a question you asked.
• To understand how the site is used and to improve it.
• To measure whether our advertising leads to inquiries, and to control how often our ads are shown.
• To protect the site from spam and abuse, and to meet legal obligations.

We do not sell your personal information, and we do not send marketing email to people who have not contacted us.

Who we share it with

Your information is shared only with: Palmera Villas, for the purpose of fulfilling a booking; the service providers listed above, to the extent needed for them to do their job; and authorities where the law requires it. We do not share inquiry details with other advertisers or data brokers.

How long we keep it

Inquiry and booking correspondence is kept for as long as it is needed to manage your stay, answer follow-up questions, and satisfy tax and record-keeping obligations. Analytics and advertising data is retained according to each provider's default settings. You may ask us to delete your inquiry information at any time using the contact details below.

Your rights and choices

Depending on where you live, you may have the right to access the personal information we hold about you, to correct it, to have it deleted, to object to or restrict certain processing, and to withdraw consent. Residents of the European Union, United Kingdom, California and other jurisdictions with privacy laws can exercise these rights by emailing rob@espadavilla.com. We will respond within the time the applicable law requires and will not treat you differently for making a request.

International transfers

The villa is in the Dominican Republic; its owner and most of our service providers are in the United States. Information you send us may therefore be processed in either country, and in the countries where the providers listed above operate.

Children

This site is intended for adults arranging travel. We do not knowingly collect personal information from anyone under 16. If you believe a child has sent us information, contact us and we will delete it.

Security

The site is served over HTTPS. Form submissions are transmitted to our form processor over encrypted connections, and inquiry correspondence is kept in access-controlled email and business systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Changes to this policy

We will post any changes on this page and update the effective date at the top. Material changes to how we use information already collected will be communicated to affected guests by email where we have an address on file.
